This MIS Project focused on evaluating Microsoft Corporation. The report covered a detailed background analysis of the company. It highlighted the company’s mission, vision, brief history, and organizational structure. The report also discussed the key strategies that Microsoft has used to gain an advantage over its competitors. The report focused on some of the strategies, including market penetration and intensive growth strategies and Microsoft’s strategies to enhance its overall performance. In addition, the report addressed the primary technologies and the IT infrastructure involved in the company’s delivery of services to its customers. The section highlighted hardware, software, telecommunication, information security, and networks as critical for the success of Microsoft’s IT infrastructure. The report discussed the data management methods used by Microsoft. Lastly, the report discussed some of the key stakeholders of Microsoft. Some of the stakeholders discussed consist of the customers. Organizational Profile (3 Marks). Microsoft Corporation is a multinational computer technology company that was established in 1975. Microsoft Corporation is headquartered in Redmond, Washington. Besides, the company sells its products to OEMs, distributors, resellers, and customers through digital marketplaces, online stores, and retail stores. The company was founded by Bill Gates and his friend Paul Allen (Microsoft, 2022). The company belongs to the technology sector and the Software Infrastructure industry. Currently, Microsoft is one of the largest software companies and the most valuable company across the world. According to Yahoo Finance, the company has 221,000 approximate employees (Yahoo Finance, 2022). Microsoft Corporation engages in developing, licensing, and supporting software, services, devices, and computer-related solutions worldwide. The company operates in three primary segments: the intelligent cloud, productivity, business processes, and personal computing. First, the productivity and business segment entails offering products such as Microsoft Office, Exchange, Teams, SharePoint, Office 365, LinkedIn, Skype, and OneDrive. The intelligent cloud segment deals with developing and deploying Windows Servers, SQL licenses, Visual Studio, GitHub, and Azure. Lastly, the company’s personal computing segment develops PC accessories, Tablets, Windows Operating systems and licenses, and gaming and entertainment consoles such as Xbox. Microsoft’s mission is “to empower every person and every organization on the planet to achieve more” (Microsoft, 2022). Microsoft’s vision statement is “to help people and businesses throughout the world realize their full potential.” Currently, the company’s CEO is Satya Nadella. Overall, the company has a smaller executive leadership team, consisting of the CEO, Satya Nadella, the President and Vice Chairperson, Chief Marketing Officer, Human Resource Officer, Chief Financial Officer, and the Executive VP for Business Development and strategy. The Board of Directors consists of company outsiders. The board is customary for publicly traded companies. The members of the board are elected yearly at the AGM. Microsoft’s organizational structure is designed to help the company achieve its strategic goals as a productivity and platform company. The company has a divisional, product-type organizational structure, which means that it is divided into functional business groups and engineering groups. In June 2015, the company announced several changes to its structure that would help it align with its strategic direction. Even as Microsoft has grown and become more hierarchical, it has managed to preserve its hybrid approach between different types of groups, including senior management, functional business groups, and engineering groups. Microsoft is divided into the following nine business groups: Business Development Group, Corporate, External, and Legal Affairs, Corporate Strategy and Planning, Finance Group, Global Sales, Marketing, and Operations, HR Group, LinkedIn, Marketing Group, and Worldwide Commercial Business. Microsoft’s organizational structure is designed so that there is a wider span of control than at other tech companies like Apple or Facebook. This means that the company is more centralized, and subordinates report to individual managers. This can be beneficial because it allows for greater control and accountability within the company. However, it can also be seen as a negative because it can create a more hierarchical environment where those at the top have more power and authority than those below them. When Bill Gates first introduced the idea of centralizing Microsoft’s decision-making, he intended to standardize output, eradicate potential personal biases, and forge a unified company whose standards were diverse. Nadella’s commitment to maintaining this setup suggests it works well for Microsoft. Strategies (4 Marks). Strategies for Competitive Advantage Microsoft Corporation employs broad differentiation as its generic strategy to maintain a competitive advantage. Unlike its competitors, Microsoft Corporation sells unique products to a vast customer base. In this case, Microsoft’s products are unique in terms of features, such as software products specifically designed for business organizations. Also, this generic competitive strategy is broad in the sense that the company sells its products to various market segments. By selling unique products to multiple market segments, Microsoft Corporation can sustain its profitability despite strong competition. For example, individuals, households, and organizations buy Microsoft’s software and hardware products. The company’s competitive advantage is built through the broad differentiation generic strategy to attract a large population of customers globally. This generic strategy also aligns with Microsoft’s mission and vision statements, which emphasize capturing a global market. Under the company’s broad differentiation generic strategy, a key strategic objective is to gain a competitive edge through continual innovation of products. This long-term goal is vital to success in a rapidly changing and highly dynamic industry. Another strategic objective associated with the broad differentiation generic strategy is the uniqueness of product design. This highlights the importance of both tangible and intangible product attributes to maintain Microsoft’s competitive advantage. For example, the company can develop new computer hardware and software products that are difficult to copy because they are specific to the Windows operating system. Strategies to Improve Microsoft’s Performance Market Penetration Market penetration is Microsoft’s key strategy for expanding its business. The company becomes bigger by selling more products in the markets where it already operates. For example, it intensifies its marketing and sales activities in its current markets in Asia. This strategy is responsible for Microsoft’s success in the global IBM PC-compatible operating systems market. A critical strategic objective of this intensive strategy is to enable Microsoft’s growth by driving sales and marketing initiatives. Product Development Strategy As a company, Microsoft Corporation’s primary focus is to grow and develop new products as a means of generating higher revenue. This is achieved through their intensive growth strategy, which revolves around developing and selling innovative new products. By creating products that speak directly to its target market’s needs, Microsoft can support its generic strategy of product uniqueness – giving them a competitive advantage in today’s marketplace. Ultimately, this intensive strategy has led to the strategic objective of growth through product innovation for Microsoft. Diversification Microsoft Corporation sees diversification as a key strategy for its growth. In this strategy, the company expands by developing new businesses. For example, Microsoft diversified its portfolio by acquiring Nokia’s devices and services division to re-enter the smartphone hardware market. Based on the broad differentiation generic strategy, the company can put this intensive growth strategy into effect through new product development in new business ventures. Technology Involved (3 Marks). Hardware The hardware devices used by the company include desktop computers, routers, modems, fiber-optic cables, personal computers, laptops, and personal digital equipment. Microsoft’s employees use desktop computers daily to do their tasks. These devices play an important role in managing products and delivering services. For example, routers and modems are used for networking purposes, while fiber-optic cables transmit internet data to other businesses and clients. Personal computers, on the other hand, are used for managing information and providing customer support. Again, Cisco IP Phones are used for communication purposes within the company. Software The company uses Microsoft Office (PowerPoint, Word, Excel, and other packages) to write reports and analyze financial data. Besides, the company uses MIS to carry out questionnaire analysis. Besides, Microsoft uses database software such as Sage and MySQL to create various comprehensive reports for the company to use in the future. Azure is also used for data management services within the company. Also, both windows and Linux operating systems are used to manage the company’s servers. Telecommunication Microsoft has deployed next-generation networks such as the 5G network in its operations. Besides, Microsoft is leveraging the carrier-grade, hybrid cloud to lower costs and improve network efficiency and reliability (Microsoft, 2022). The other tool that the company is using is the Microsoft Teams and Microsoft Teams Phone. In today’s business landscape, it is more important than ever for employees to work together efficiently to succeed. Teams allow employees from all corners of the company to come together and collaborate so that they can continue to produce great work and drive innovation. Microsoft Teams Phone is a cloud-based calling service that integrates with all the ways you work, making it easier to collaborate and communicate (Microsoft, 2022). With Teams Phone, Microsoft’s employees can make and receive calls from anywhere, using their mobile device, desk phone, or PC. Moreover, because it is a cloud-based service, they can scale Teams Phone up or down as their individual needs change. Information Security The operational processes that grant access to customer data in Microsoft business cloud services are well-protected by strong controls and authentication, which can be classified as physical and logical. For example, gaining access to the physical data center facilities requires passing through outer and inner perimeters with security features like perimeter fencing, security officers, locked server racks, multifactor access control, integrated alarm systems, and 24/7 video surveillance by the operations center. Microsoft has adopted role-based access control, multifactor authentication, and minimizing standing access to production data to keep its customers’ information safe. Lastly, every employee has a domain name and password to ensure that only authorized employees can access information in a given information system. Networks Microsoft Corporation utilizes the internet as a way to connect all devices and share information between them. The company uses the Client-Server model, meaning that a server computer supervises all client computers and devices connected to the network (Singh & Sharma, 2020). This server is well-protected with multiple layers of firewalls and encryption, ensuring that the service is fast and secure. Operating System Microsoft uses Linux and Windows operating systems for all its computers and servers. Windows Operating system is mainly used to operate employee desktop computers and laptops. The company uses Linux OS in its server environment to provide more benefits and substantial networking capabilities. The OS also can manage telecommunication devices efficiently, making it the perfect fit for the company as it is the foundation of its operations and products in the market. Data Management (2 Marks). The operational processes that grant access to customer data in Microsoft business cloud services are well-protected by strong controls and authentication, which can be classified as physical and logical. For example, gaining access to the physical data center facilities requires passing through outer and inner perimeters with security features like perimeter fencing, security officers, locked server racks, multifactor access control, integrated alarm systems, and 24/7 video surveillance by the operations center. Microsoft understands how important it is to keep customer data safe and secure. The company has implemented strict controls to restrict virtual access to customer data based on business needs. Microsoft has adopted the use of role-based access control, multifactor authentication, and minimizing standing access to production data to keep its customers’ information safe. Lastly, Microsoft strictly logs all access to customer data, and together with the third parties, they perform regular audits (as well as sample audits) to ensure that any access is appropriate. All these methods are advantageous as they help Microsoft keep customer data safe from unauthorized access. To help keep customer data safe and secure, Microsoft uses industry-standard encryption protocols to safeguard data in transit and in storage. Microsoft products and services use secure transport protocols to move data between user devices and Microsoft datacenters and within the datacenters themselves. To help protect data at rest, Microsoft offers a range of built-in encryption capabilities. However, the downside of these methods includes security challenges, especially in the age of cybercrimes and costly data management plans. Identify the Stakeholders (1 Mark) Microsoft’s employees are the major stakeholders that influence the company’s Information System. Microsoft has approximately 221,000 employees whose purpose is to ensure the company succeeds in its mission and vision. Employees use information systems daily to create products and market the products and services to the world. Therefore, they are directly influenced by any decision that changes the current MIS being used at Microsoft. References Microsoft. (2022). Telecommunications Industry Solutions | Microsoft Industry.
